What we collect through this website, what we do with it, and what we deliberately do not ask for.

The short version

We collect the contact and company details you type into our forms so we can prepare your review and get back to you. We do not sell your information, we do not share it with anyone outside the vendors that help us run this business, and we deliberately do not ask for employee health information on this website at all.

What we collect

When you submit a form on this site, we collect what you enter, which may include:

  • Your name, work email address, and phone number
  • Your company name and the city it is based in
  • Your approximate employee count, current benefits arrangement, and renewal month
  • Your payroll provider, if you tell us
  • Anything you write in a free-text field
  • How you heard about us

If you use the benefits cost estimator and then continue to the review form, the figures you entered are carried over so you do not have to type them twice.

We also collect limited technical information automatically: pages visited, approximate location derived from IP address, referring site, and device type. If we have analytics configured, this is collected in aggregate and is not used to identify you individually.

What we deliberately do not collect here

This website does not ask for, and you should not send through it, any of the following: employee names, dates of birth, Social Security numbers, dependent information, medical diagnoses, prescription histories, claims detail, or census files.

That is a deliberate design decision rather than an oversight. Information of that kind is sensitive, and in many cases protected health information under HIPAA. It belongs in a secure channel with appropriate agreements in place, not in a web form or an email. Once we have spoken, we will set up that channel for you.

How we use what you give us

  • To prepare and deliver your benefits cost review
  • To contact you about scheduling and about your request
  • To answer questions you have asked us
  • To keep records of our client and prospect relationships
  • To improve how this website and our services work

We do not sell your information. We do not rent it, trade it, or provide it to third parties for their own marketing.

Who else sees it

We use a small number of service providers to operate this business, and your information may pass through them in the course of ordinary use:

  • Our website host and infrastructure provider
  • Our email delivery provider, which sends your confirmation and our notification
  • Our customer relationship management system, which stores your contact record
  • Our scheduling provider, when you book a meeting
  • Our analytics provider, for aggregate website statistics

Each of these is bound by its own agreement with us. We may also disclose information where we are legally required to, or where it is necessary to establish or defend a legal claim.

How long we keep it

We keep prospect information for as long as there is a reasonable prospect of doing business together, and client information for as long as required by our regulatory record-keeping obligations. You can ask us to delete your information at any time and we will, except where we are required to retain it.

Your choices

You can, at any time:

  • Ask what information we hold about you
  • Ask us to correct anything that is wrong
  • Ask us to delete your information
  • Unsubscribe from anything we send you

Cookies and tracking

This site uses the minimum necessary. If analytics is enabled, it is configured to measure aggregate traffic rather than to build a profile of you. We do not run advertising trackers or third-party marketing pixels on this site.

Security

This site is served over HTTPS, and form submissions are encrypted in transit. We limit internal access to what people need to do their jobs. No system is perfectly secure, which is the practical reason this site does not collect health information in the first place.

Children

This site is intended for business use by adults. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy we will update the date at the top. Material changes will be called out on the page rather than made quietly.
